1. Information We Collect

A. From Adult Users (Parents, Teachers, Administrators)

• Account Data: Name, email address, password, school affiliation, and role assignment.
• Communication Data: Text updates, homework descriptions, upcoming test dates, and growth milestones entered into the Smart Diary.

B. From Student Users (Children)

We limit child data collection to the absolute minimum necessary to run our gamified learning engine:

• Profile Names: First name or an arbitrary nickname chosen by the parent or teacher.
• Performance Data: Vocabulary words studied, quest completion speed, spacing review logs (1 day, 3 days, 1 week updates), and points earned.

We do NOT collect biometric data, precise location data, phone numbers, or social media handles from children.

C. Automatically Collected Data

Technical data including your device's IP address, browser type, and app usage timestamps to ensure secure and stable software performance.

2. How We Use Your Information

We use the collected data strictly to maintain and enhance your educational experience:

• To generate personalised, spaced-repetition vocabulary paths for students.
• To coordinate real-time progress reports and smart notifications via the Smart Diary.
• To run our AI-powered text extraction pipeline on textbook images uploaded by teachers.

Strict No-Sale Policy: We do NOT sell, rent, or monetize student or adult personal data to advertisers or third-party brokers.

3. Data Storage & Security

Student and school data is stored securely using industry-standard encryption protocols. Access to student data is compartmentalised: parents can only see their own children's metrics, and teachers can only see information for students in their assigned classrooms.

4. Textbook Images & AI Processing

When a teacher or school uploads an image of a textbook to extract vocabulary words, the image is passed securely to our automated AI parsing system. These images are used solely to extract text metadata for lessons and are safely deleted or archived based on school tenancy settings. They are never repurposed for public training datasets.

5. Children's Privacy Rights (COPPA Compliance)

Parents and legal guardians maintain total control over their child's data:

• You have the right to review your child's educational records at any time.
• You can request the permanent deletion of your child's account and personal tracking history.
• You can revoke permission for any ongoing data processing by deleting the child profile from your account settings.

6. Future Platform Expansions (Blogs & Research)

When OloTree introduces its parent education, research portals, and community blogs, any research published using systemic platform metrics will be completely anonymised and aggregated. No identifiable individual data from parents, teachers, or children will ever be exposed in our research publications.
